Terms and Conditions

Please take time to read the KCC Volunteer Terms and Conditions of Kitendo Children’s Charity Programme carefully before submitting your online application form. By clicking on the box besides the words ‘I have read and agree to the KCC legal terms and conditions’ in the online volunteer application form, you agree to the following terms and conditions.

Requirements

The volunteer must be 19 years old at the time of commencing travel and not older than the age of 65. Supporting documents as listed in the application process must be submitted within the stipulated time frame outlined. The volunteer must provide a scanned copy of their criminal record and passport at the time of application and to bring the originals to orientation before the commencement of their placement.

Travel

The volunteer is solely responsible for arranging and paying for their own travel, specifically including all airfares or other transport costs to and from the airport from their home country as well as any local transport costs while in Kenya, except for the airport pick up on arrival and project transport while on placement. It is the responsibility of the volunteer to carry all necessary documents when travelling abroad. While KCC may advise the volunteer on required travel documentation, KCC is not responsible for any supporting documents necessary for the volunteer’s travel needs or other purposes. Volunteers are responsible for ensuring their travel documents are up to date and valid for travel.

Insurance

Travel and medical insurance is not included in the programme fees and therefore KCC does not provide the volunteer with insurance of any kind. Travel insurance is essential for every volunteer and the volunteer will purchase this to cover the entire trip prior to departure. Each volunteer must carry out their own research, reading all the small print and what the policy covers and what it doesn’t  to ascertain its suitability or not.

Personal Risks

The volunteer acknowledges and accepts the responsibilities and risks associated with their agreement to travel to, temporarily live in and provide volunteer services in Kenya. Such travel and volunteer work can be often hazardous and involves a certain degree of risk, inherently dangerous activities and personal perils to the volunteer, both foreseen and unforeseen, all of which are fully accepted by and solely assumed by the volunteer. Therefore, KCC including any and all of its employees, local volunteers, managers, directors, board members, shareholders and  host family are not liable, to the maximum extent of the law, for any loss or harm the volunteer or associates may suffer, including but not limited to loss caused directly or indirectly by:

  • Personal injury;
  • Emotional injury;
  • Death;
  • Illness or disease;
  • Damage to or loss of property;
  • Riots, strikes or protests
  • Hostage or hijack situations;
  • War or terrorism; or an
  • Act of God.

Refund Policy

KCC only provides refunds on Safari and Programme Fees. The request must be received no less than 45 days from departure date. The request must be made in writing with an explanation as to why the refund is needed. The refund incurs a 25% administrative fee on both sets of fees. Once the request has been received KCC will email the response with the confirmation of receiving the letter.

Change of Dates and Placement Duration

Once registered and before they begin their trip with KCC, the volunteer is entitled to change their start date and duration once, at no additional cost. If they need to change their start date or duration a second time they will be required to pay an administration fee of US$100 for each change they make. Placement changes within seven days of the volunteer’s start date will incur an administration fee of US$250. If a volunteer wishes to change their start date, the registration fee is only valid for new start dates within twelve months of the original start date.

Registration fees are non-refundable and must be paid in full once confirmation is received via an Acceptance email from KCC. Confirmation of placement is not complete until this fee has been paid in full.

KCC reserves the right to revise the registration fee at any time. All registration fee revisions will be made via the KCC website. Registration fee revisions are not applicable to volunteers who have already submitted their online booking before the revisions are due to take effect.  All registration fee payments attract a 5% transaction fee charge to cover PayPal fees (where applicable), bank fees and currency conversion charges.

Programme Fees

KCC accepts requests for refunds for Programme Fees under the following policy. The request must be received no less than 45 days prior departure. The request must be made in writing with an explanation as to why the refund is needed. The refund incurs a 25% administrative fee. Once the request has been received KCC will email the response with the confirmation of receiving the request.

Programme fee revisions will be made on the KCC website and other communication channels when KCC sees fit. Programme fee revisions are not applicable to volunteers who have already paid their registration fees.

Programme fees are due no later than 45 days prior to the beginning of the volunteer’s placement. Failure to make this payment can result in a loss of volunteer placement with no refund of registration fee. All registration fee payments attract a 5% transaction fee charge to cover PayPal fees (where applicable), bank fees and currency conversion charges.

Registration and Programme fees are not transferable to other persons.

Hours of service

The volunteer will be scheduled to work a full day of no more than 8 hours per day, Monday to Friday. If required the volunteer can provide extra services over the weekend but this is optional to the volunteer and not expected. The only exception for non work days are set aside for sick days or personal emergencies. Bookings for safaris, excursions and trips away may only be arranged after your placement is completed and not while still on placement time.

Indemnity

The volunteer agrees to indemnify KCC against any and all liability which KCC incurs arising directly or indirectly out of, or in connection (in any way) with, the volunteer’s travel to, living in and providing services in Kenya.

Drug and Alcohol Use

The volunteer must abide by the rules put in place by KCC volunteer placement institution and host family in regards to alcohol consumption. Drug use (unless prescribed by a doctor) is strictly prohibited and will result in instant dismissal from the programme at the volunteers full cost with no refunds.

Child Protection Policy

The volunteer has read the KCC Child Protection Policy. They fully understand and agree to follow all procedures contained within. If at any time the volunteer fails to follow the guidelines set forth by the KCC Child Protection Policy, they understand that their volunteer placement may be terminated by KCC and appropriate action will be taken.

Further

The volunteer agree to follow the laws of Kenya, the volunteer guidelines and house rules.  Failure to adhere will result in the termination of their placement with no refund provided.

The volunteer agrees to comply with the KCC Code of Conduct and Waiver issued at the orientation.

KCC reserves the right to use feedback, video and images provided by volunteers for website and social media content such as testimonials.

To the full extent permissible at law, all representations, terms, warranties, guarantees, or conditions whether implied by statute, common law or custom of the trade or otherwise, including, but not limited to, implied warranties and guarantees, are excluded.

Notwithstanding anything else contained in any agreement, the liability of KCC to the volunteer shall not in aggregate exceed the amount of the registration fee paid by the volunteer.

This website is presented solely for the purpose of promoting KCC Programme. The site is controlled and operated by KCC from its offices in Kenya. KCC makes no representation that materials in the site are appropriate or available for use in other geographical location worldwide.

Those who choose to access this site from other locations do so on their own initiative and are responsible to the extent local law is applicable.

KCC does not warrant or make any representations regarding the correctness, accuracy, reliability, or otherwise of the materials in this site or the result of their use.

KCC reserves the right to refuse acceptance to any application.

KCC reserve the right to remove any volunteer from placement.

Force Majeure

KCC has no liability for any lack of performance, unavailability or failure of the services or its website, or for any failure of KCC to comply with these terms and conditions, where the same arises from any cause reasonably beyond the control of KCC.

Governing Law

These terms are governed by the laws of Kenya.
